Hotel Options for Council of Five Nations Adventure Gaming Convention

Hotel Options

for Council of Five Nations

Last Update:  Monday, July 22, 2013

* Important hotel notice for Council 2013 *

For the first time in several years, Council 36 will be on the same weekend as Union College's Homecoming & Parents weekend. (Union College is within walking distance of the Council facility.) After some serious internal discussion, the SWA Planning Team has decided to not let this affect our plans or our schedule.

Please note this overlap has put hotels within walking distance of Proctors, the Council facility, in very high demand. Costs are certain to rise significantly this year, and the nearby hotels we usually suggest to our attendees are almost certain to sell out.

We are thus expanding the contents of this Hotel Options page significantly this year.  We are listing more hotels in a wider driving radius.  This will probably result in you needing to commute to the convention, but there is plentiful, free parking very near Proctors (see our Council of Five Nations Parking page for full details).

In general (as of July 22nd at least), there are still some decent deals to be found on Expedia.com and Hotels.com if you're willing to commute 10-20 minutes by car.  We suggest you use those sites to find something in the comfort and price range you are seeking.  The hotels listed below are those that we believe to offer a balance of economy, quality and value.

Special Note:
There are at least three hotels/motels in downtown Schenectady that we suggest you avoid:
  • America's Best Value Inn/Econolodge, 759 State Street, Schenectady
  • Twins Motor Inn, 921 State Street, Schenectady
  • Imperial Motel, 927 State Street, Schenectady.

Hotels a little further away from Proctors/Council, but more likely to have available rooms at reasonable prices

Frosty Acres CampgroundFrosty Acres Campground

Schenectady, NY 12306
(518) 864-5352 / 5606
www.FrostyAcresCampground.com

For three years in a row, Council attendees stayed at Frosty Acres Campground.  Not many, but a few.  So we figured it's time to add it to our list of suggested lodgings.  Both sets of guys gave it very positive reviews.  Their web site says their season ends on October 1st, but it's also said that for the past few years and it wasn't a problem.  If you call ahead and make a reservation, we're pretty sure you'll be fine.

Distance to Proctors/Council:  About ten miles, which amounts to a 15-20 minute drive.

Frequently Asked Questions:

Why can't you get a block of rooms at a discount convention rate?

There is practically no chance that we will be able to negotiate any kind of discount for our attendees.

The SWA's Hotel Czar has been working the phones, doing what he can, but that is quite simply not much. We cannot stop the tidal wave, we can only ride it out as best we can. The only reason we even know about the Union conflict is because of his efforts.

The Union College web site boasts that Homecoming/Parents weekend draws 2000+ guests every year, so our attendance of 300-400, with 65% of that local (and thus sleeping in their own beds) is not in the same ballpark.

Please keep in mind some basic fundamentals of capitalism...

The hotels close to Union College have absolutely no incentive to give us a convention discount. They know they will sell out all their rooms that weekend. Union College is private, and not cheap. Parents who can afford $58,248 (!!!!!) per year for tuition at Union will probably not be deterred by room rates of $150-250 per night, so why wouldn't the hotels jack their rates up to those levels?

Why didn't you move the weekend of the convention?

The SWA Planning Team had some very serious discussion about that option.  In the end, only a small minority supported the idea of moving the date.  A major factor was that we already had a signed contract with Proctors.
